OPERATIONS MANAGER

JOB DESCRIPTION 

FLSA STATUS: EXEMPT 

Reporting Relationship: This position reports to the Vice President of Operations. 

The Operations Manager will be an integral part of the CRAFT Media Digital team in Washington, DC. The Operations Manager is responsible for managing the day-to-day running of the CRAFT office and providing administrative support to staff, demonstrating leadership, responsiveness, independent thinking and sound judgement in a fast-paced team environment.

RESPONSIBILITIES AND DUTIES

Operations Coordination

  • Serve as liaison for building management.
  • Manage vendor/supplier relationships relating to the CRAFT office.
  • Work with vendors and contractors to maintain proper functioning office equipment, ensuring any issues are resolved in a timely manner.
  • Maintain sufficient stock of office and kitchen supplies at all times.
  • Prepare outgoing mail and collect and distribute incoming mail.
  • Manage logistics for client and external meetings, which include coordinating catering, preparing conference rooms, technology support, greeting guests, etc.
  • Assist with setting up new employees to the office, including coordinating orientation meetings and provision of office technology and equipment.
  • Plan and organize internal events that include team outings, staff retreats, and other ad hoc company events.
  • Prepare and process monthly expense reports for the CEO and COO.
  • Provide quality administrative support to staff by providing general support in a timely and thoughtful way.

Scheduling

  • Reserve conference rooms for internal and external meetings as required.
  • Schedule and take notes in weekly staff meetings.

Travel

  • Arrange travel and accommodation for CEO, COO, and staff as requested with flexibility to adjust schedules on short notice.

JOB KNOWLEDGE, SKILLS, AND ABILITIES

  • Proficiency in Microsoft Office including Word, Excel, and Powerpoint.
  • Ability to prioritize and multi-task in a fast-paced environment.
  • Strong interpersonal and writing skills.
  • Comfort and ability in speaking on behalf of the organization to clients and external stakeholders.
  • Ability to work in a professional environment and demonstrate professional work ethic.
  • Strong organizational and planning skills.
  • Ability to work within a team as well as independently with minimal supervision and exercise sound professional judgement.
  • Ability to demonstrate proactive approaches to problem-solving with strong decision-making capability.
  • Ability to act with discretion and maintain complete confidentiality.

EDUCATION AND TRAINING

  • At least 2-years prior administrative experience.
  • Associate or bachelor’s degree preferred, but not essential.

WORK ENVIRONMENT

  • Work performed in an open office environment 
  • Daily work performed Monday through Friday, 9:00 a.m. – 6:00 p.m.
  • Additional hours may be required on an as needed basis
